What Is a Hotel Technology Stack?

A hotel's technology stack is the collection of hardware, software, infrastructure, and digital systems used to operate the property.

Depending on the property, the stack can also include Booking engines, Channel managers, Websites, CRMs, Accounting, Staff management, Maintenance, Guest messaging, Access control, CCTV, Wi-Fi, Energy monitoring, IoT devices, and Automation.

There is no single "perfect" hotel technology stack. There is, however, a well-designed one.

Why Technology Decisions Should Happen Before Opening

One of the easiest mistakes for a new hotel to make is treating technology as something that gets installed after everything else is finished. By then, important decisions may already have been made.

The hotel may have purchased incompatible hardware, built workflows around disconnected systems, created duplicate data entry, or discovered network limitations that disrupt management visibility.

Pre-opening technology planning is therefore less about buying software early and more about designing how information will move through the hotel.

Before comparing vendors, map your hotel's operations. Start with the major guest journeys:

1. Property Management System (PMS)

The Property Management System, or PMS, is traditionally one of the central systems in hotel operations. It manages reservations, room inventory, guest profiles, check-ins, check-outs, folios, billing, rates, and reporting.

Instead of asking:

"Which PMS has the most features?"

Ask: "Does this system fit the way our hotel intends to operate?"


2. Booking Engine

Your booking engine allows guests to make direct reservations through your hotel's website:

Hotel Website → Booking Engine → Availability → Room Selection → Payment → Reservation → Hotel System

Never assume an integration works because a vendor says it is connected. Test it thoroughly before opening day.


3. Channel Manager

Hotels often sell rooms through multiple channels (website, OTAs, corporate bookings, direct reservations). A channel manager synchronizes availability, rates, and inventory across distribution channels so room inventory remains consistent.


4. Point of Sale (POS)

Revenue comes from restaurants, bars, lounges, spas, laundry, room service, and events. If a guest charges dinner to their room, the transaction should move from the restaurant's POS into the guest's folio automatically without manual re-entry.

5. Payment Systems

Before opening, answer 6 critical questions for every payment method (cards, bank transfers, cash, online payments, POS terminals, corporate accounts):

  1. Where does the payment happen?
  2. Where is it recorded?
  3. How is it connected to the guest?
  4. Who verifies it?
  5. Who reconciles it?
  6. What happens when there is a discrepancy?

6. Accounting & Housekeeping Systems

Define how operational data moves from PMS and POS into finance. For housekeeping, ensure live room statuses are visible without constant phone calls:

CHECK-OUT → ROOM DIRTY → CLEANING → CLEAN → INSPECTION → READY


7. Maintenance & Guest Communication

A good maintenance workflow retains a history of issues so management can identify recurring equipment failures and repair bottlenecks.

Guest messaging (WhatsApp, SMS, Web Chat) should automatically generate operational tasks rather than getting stuck in someone's inbox.


8. Network, Energy & Analytics Infrastructure

Segment staff, guest, POS, and security networks appropriately. Answer: "What happens when the internet goes down?" before opening.

For energy, move from simple record-keeping toward operational intelligence:

Data → Visibility → Intelligence → Action
